What can complaints tell you?

A closed case can still point to an open risk.

Read what the customer said. Check the facts and the process. Use the findings to decide what needs to change.

A pattern is a reason to review. Neither AI nor the absence of manual labels makes a method free of bias. Test the data, the grouping and other possible causes before reaching a conclusion.

From patterns to action

Look beyond the label.
Test the explanation.

Case labels and closure rates do not tell the whole story. Start with the full records, including inquiries, open cases and partner contacts. Note missing records and limits on access.

Unsupervised learning groups records without fixed outcome labels. It can help surface concerns no one thought to search for. It still needs testing. Expert judgment helps explain the findings, but should not set the whole boundary of what can be found.

Link each concern to the facts and the conditions of any rule that may apply. Keep contrary evidence visible. A score is not proof of a breach.

Combine findings that share a cause into one workable action plan. Name the owner, check who else was affected and test the changed process. Keep a clear reason for closing or reopening the issue.

Questions for the next review

What do the records show?

I

Labels

Does the assigned category explain the concern? Can the facts support the view without the label?

II

Discovery

Can an unfamiliar pattern reach Compliance? What happens to small groups and records that fit no group?

III

Rules and evidence

Which facts make a duty relevant? What evidence could change the conclusion?

IV

Coverage and timing

What was left out? Is the problem new, or has a late feed only now made it visible?

V

Decisions and action

Can a reviewer trace the finding to a decision, a shared repair and proof that the fix works?
